Privacy Policy
Who we are
This policy explains how Zavora Aviation (“Zavora Aviation”, “we”, “us”) handles personal information collected through zavoraaviation.com and through enquiries made by telephone or email. Zavora Aviation is an aircraft charter brokerage based in Ontario, Canada. We arrange charter flights that are operated by third-party aircraft operators.
We handle personal information in line with applicable Canadian privacy law. Questions about this policy or your information can be sent to info@zavoraaviation.com.
Information we collect
Charter request information
When you submit a charter request, we collect the details you provide about the movement, which may include:
- the type of request (private, group, cargo or special mission);
- origin, destination, dates and whether the trip is one way or return;
- number of passengers or a description of the load;
- for cargo: cargo type, weight, dimensions and urgency;
- for special missions: mission type and operational requirements;
- any notes you add.

Your name, email address, telephone number and, if you choose to provide it, your company.
Information shared later in a charter
If an enquiry proceeds, we may need further information to arrange the flight, such as passenger names, identity or travel document details required by the operator or by border authorities, special assistance needs, or shipping documentation. We ask for this only when it is needed for the specific flight.
Special-mission enquiries can involve health information, for example for medical or repatriation flights. Please share only what is necessary at the enquiry stage. We will ask for anything further directly and use it only to arrange that flight.
Technical information
Like most websites, our hosting provider’s servers automatically process technical information when you visit, such as your IP address, browser type and the pages requested, in order to deliver the site and keep it secure. We use IP addresses briefly to limit repeated form submissions and protect against abuse. We do not use analytics or advertising tools on this website. See our Cookie Policy.
How we use information
- to respond to your enquiry and prepare aircraft options;
- to source aircraft from operators and arrange a charter you decide to proceed with;
- to communicate with you about your request or flight;
- to keep records required for legal, tax and accounting purposes;
- to protect the website and our business against fraud and misuse.
We do not sell personal information, and we do not use enquiry details for marketing unless you have separately agreed to receive it.
Consent
By submitting a request you consent to our use of your information to respond to it, as described here. You may withdraw consent at any time by contacting us, subject to legal or contractual restrictions. Withdrawing consent may mean we cannot continue arranging a charter.
Who we share information with
- Aircraft operators and aviation service providers. To obtain options and arrange a flight we share the trip details, and where needed passenger or shipment details, with operators and related providers such as ground handlers. They use the information to quote for and operate the flight and handle it under their own privacy obligations.
- Service providers. We use providers for website hosting and email. They process information on our behalf to provide those services.
- Authorities. Where required by law, or where a flight requires it (for example permits, customs or border requirements).
International processing
Charter often involves flights to, from or between other countries, and aircraft operators and service providers may be located outside Canada. Your information may therefore be stored or processed in other countries, where it may be accessible to authorities under the laws of those countries.
Retention
We keep enquiry information for as long as needed to respond, to arrange and complete any resulting charter, and to meet legal, tax and accounting obligations. When it is no longer needed, we delete it or make it anonymous.
Security
We use safeguards appropriate to the sensitivity of the information, including encrypted (HTTPS) transmission of website forms and restricted access to enquiry mailboxes. No method of transmission or storage is completely secure, so please avoid sending highly sensitive information until we ask for it.
Your choices and rights
You may ask to access the personal information we hold about you, ask us to correct it, or withdraw consent, by emailing info@zavoraaviation.com. We may need to verify your identity before acting on a request. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.
Changes to this policy
We may update this policy as our services or the website change. The date at the top shows when it was last revised.
